Terms & Conditions

1. Agreement to Terms
These Terms & Conditions (“Terms”) govern your access to and use of the NSBM Student Portal (students.nsbm.ac.lk) and all of its features (including the GreenMate AI assistant, online payments, push notifications, feedback tools, the QR scanner, and the Gym & Pool module), operated by National School of Business Management (Guarantee) Limited, operating as “NSBM Green University” (“NSBM”, “we”, “us”, or “our”).
By accessing, logging into, or otherwise using the Portal, you confirm that you have read, understood, and agree to be bound by these Terms and our Privacy Policy. If you do not agree to these Terms, you must immediately discontinue use of the Portal. We reserve the right to update these Terms at any time. Continued use of the Portal after changes are posted constitutes acceptance of the revised Terms.
2. Eligibility
Access to the Portal is exclusively available to currently enrolled students of NSBM Green University with a valid NSBM institutional Microsoft 365 account. Access may also be granted to authorised university staff for administrative purposes.
You represent that the information you provide during registration and use of the Portal is accurate, current, and complete. Access will be denied if your enrolment status is not active or if your account is suspended by the university.
3. Account and Authentication
The Portal uses your NSBM Microsoft 365 credentials managed by Microsoft Entra ID. You are responsible for maintaining the confidentiality of your Microsoft 365 account credentials. You must not share your credentials with any other person. NSBM will never ask you for your password.
You agree to notify the NSBM IT Department immediately at its@nsbm.ac.lk if you suspect any unauthorised access to your account. We are not liable for any loss or damage arising from your failure to comply with this obligation.
4. Permitted Use
The Portal is provided to enable you to:
- View your student profile and academic information held in UMIS.
- Make online payments for university fees via the BOC payment gateway.
- Use the GreenMate AI assistant to ask about your own academic data.
- Submit feedback and, where available, request corrections to your profile.
- Enable push notifications and use the in-app QR scanner.
- View your Gym & Pool facility data, where applicable.
- Access other university services and resources made available through the Portal.
5. GreenMate AI Assistant: Acceptable Use & Disclaimers
GreenMate is an AI-powered assistant, built using an integration with a third-party large language model (LLM) service, that can answer questions about your own academic data. By using GreenMate you also agree that:
- GreenMate provides informational assistance only and is notan official record. For official transcripts, certificates, or enrolment documentation, contact the NSBM Registrar’s Office (see Section 7).
- AI-generated responses may occasionally be inaccurate or incomplete. You should independently verify any information before relying on it for academic or financial decisions.
- You must not attempt to use prompts, instructions, or any other technique to make GreenMate access, infer, or disclose another student’s personal or academic data, or to bypass its rate limits, content filters, or safety controls.
- Messages you send to GreenMate are processed by our third-party AI service provider in accordance with their own terms and our Privacy Policy. Do not submit unlawful, abusive, or another person’s sensitive personal data in the chat.
- NSBM may disable, rate-limit, or moderate GreenMate at any time, including system-wide.
6. Prohibited Conduct
You must not:
- Access or attempt to access any account, data, or AI conversation other than your own.
- Use automated tools, bots, scrapers, or scripts to access the Portal without prior written permission from NSBM.
- Attempt to probe, scan, or test the vulnerability of the Portal or any associated systems, including GreenMate.
- Introduce malware, viruses, or any other malicious code, including via feedback attachments.
- Use the Portal for any unlawful purpose or in a manner that violates any applicable Sri Lankan law, including the Computer Crimes Act, No. 24 of 2007.
- Misrepresent your identity or student enrolment status.
- Interfere with or disrupt the integrity or performance of the Portal.
Violation of these prohibitions may result in immediate suspension of Portal access, disciplinary action under the NSBM Student Disciplinary Policy, and/or referral to relevant law enforcement authorities.
7. Accuracy of Information
Student profile and academic data displayed in the Portal, including via GreenMate, is sourced from UMIS. While we endeavour to ensure accuracy, the Portal is not the authoritative record for official academic transcripts, certificates, or formal enrolment documentation. For official records, please contact the NSBM Registrar’s Office. NSBM is not liable for decisions made in reliance on Portal or GreenMate data without official verification.
8. Online Payments
Online fee payments are processed through the Bank of Ceylon (BOC) Mastercard Internet Payment Gateway. By initiating a payment, you agree to BOC’s terms and conditions. NSBM does not store your card details. Payment is considered complete only upon receipt of a confirmed transaction reference from BOC.
In the event of a disputed payment or failed transaction, you must contact the NSBM Bursar’s Office and, if required, your card-issuing bank. NSBM is not responsible for delays or errors caused by third-party payment infrastructure.
9. Push Notifications, Feedback & User Content
If you enable push notifications, you consent to receive Portal notifications from NSBM in your browser; you may disable this at any time in your browser or device settings. Feedback content and any files you attach must not be unlawful, defamatory, or infringe another person’s rights. By submitting feedback or a profile correction request, you grant NSBM the right to use that content internally to review and act on your submission.
10. Intellectual Property
All content, design, logos, and software of the Portal are the intellectual property of NSBM Green University or its licensors and are protected under applicable Sri Lankan intellectual property laws. You may not reproduce, distribute, or create derivative works from Portal content without express written consent from NSBM.
11. Third-Party Services
The Portal integrates third-party services including Microsoft (sign-in and, where you consent, analytics), Google Analytics (where you consent), a third-party AI service provider (for GreenMate), and Bank of Ceylon (payments). Your use of these services is also governed by their own terms of service and privacy policies, and NSBM is not responsible for the practices of these third parties.
12. Disclaimer of Warranties
The Portal, including GreenMate, is provided on an “as is” and “as available” basis without warranties of any kind, either express or implied, including but not limited to implied warranties of merchantability, fitness for a particular purpose, or non-infringement. We do not warrant that the Portal will be uninterrupted, error-free, or free of viruses or other harmful components, or that AI-generated content will be accurate or complete.
13. Limitation of Liability
To the maximum extent permitted by applicable Sri Lankan law, NSBM, its directors, employees, and agents shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of data, loss of profits, or business interruption, arising out of or in connection with your use of, or inability to use, the Portal, including reliance on GreenMate’s responses.
Nothing in these Terms limits or excludes liability for fraud, wilful misconduct, or any other liability that cannot be lawfully limited or excluded under Sri Lankan law.
14. Suspension and Termination
NSBM reserves the right to suspend or terminate your access to the Portal, or any individual feature such as GreenMate, at any time, with or without notice, for any reason including but not limited to: breach of these Terms, change in enrolment status, or security concerns. Upon termination, your right to use the Portal ceases immediately.
15. Governing Law and Dispute Resolution
These Terms are governed by and construed in accordance with the laws of the Democratic Socialist Republic of Sri Lanka, including the Computer Crimes Act, No. 24 of 2007, the Electronic Transactions Act, No. 19 of 2006, and the Personal Data Protection Act, No. 9 of 2022. Any dispute arising out of or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of Sri Lanka.
You are encouraged to raise concerns with the NSBM IT or Registrar’s Office in the first instance. NSBM is committed to resolving complaints promptly and fairly.

17. Your Acceptance
By creating an account, logging in, or otherwise accessing or using the Portal or any of its features, you acknowledge that you have read and understood these Terms & Conditions and our Privacy Policy, and you agree to be legally bound by both in full.
